Annual Exhibition Rules=

E= ligibility

1. All members of the Society, with the exception of associate members, may submit entries for the Annual Exhibition. The maximum number of entries per entrant is:

20 Monochrome p= rints

20 Colour print= s

20 Projected im= ages

2. Images which have been exhibited or received two rejections in previous Annual Exhibitions are not eligible for entry.&nb= sp; This includes versions from the same or similar image in the form of monochrome print, colour print, transparency or digital image for projectio= n.

3. An image may only be entered once i.e. as a monochrome print or a colour print= or a projected image in any year. Additional versions of the same or very similar image will be disqualified.

4. Any image which does not comply with these Annual Exhibition Rules will be disqualified.

5. The committee reserves the right not to exhibit any image which they consider unsuitable for display to the public taking into account relevant considerations, such as the venue.

E= ntry Date, Form and Fee

6. All entries must be submitted to an Exhibition Secretary by the entry date whic= h is published in the Programme and Bulletin.&n= bsp; A properly completed Entry Form and the appropriate fee must accompa= ny each member’s entry. En= tries cannot be accepted after the entry date.

7. Any image not entered on the entry form above the entrant’s signature wil= l be disqualified.

C= onditions of Entry

8. The Copyright of all elements of each image entered must be at the disposal of = the entrant.

9. Unless an image is plainly marked 'Copyright Reserved', the organisers will assume permission to, free of charge:

· = use any image for publicity purposes including in the press

· = reproduce any image for the benefit of the Society during or after the period of the Exhibition

· = display any image on the Society’s website

10. Entrants are required to serve as Stewards at the Exhibition unless extenuating circumstances prevent it. The Committee may disqualify any entrant who does not serve as a Steward from entering the next year's Exhibition.

11. Entrants are reminded that entries are handled many times in the preparation and jud= ging of the Exhibition. Whilst eve= ry precaution is taken with the entries, the Society cannot accept responsibil= ity for any loss or damage.

12. By signing the Entry Form the entrant confirms acceptance of and compliance wi= th these Annual Exhibition Rules.

C= lassifications, Judging and Awards

13. The Annual Exhibition is “Open” and all images entered are consider= ed for acceptance and for Highly Commended and Commended certificates by the s= electors without regard to classification except for images marked as Beginners̵= 7; which are selected separately.

14. No image will be allowed to take more than one award except for the Mayor̵= 7;s Cup.

15. The Mayor’s Cup is awarded at the sole discretion of the Mayor of Ipswich from images accepted by the selectors for display in the Annual Exhibition.=

16. Cups and Trophies are awarded by the selectors, at their sole discretion, to the best images for:

Landscape and seascape

Pictorial exclu= ding landscape and seascape

Portraiture and figure study

Eligibility for= Cups and Trophies for these classifications is determined by the selectors.=

17. Cups and Trophies are also awarded by the selectors for:

Natural History= (NH)

Architecture, R= ecord, Scientific and Technical(R)

Life and Photojournalism (L)

Beginners (B)

Eligibility for awards for these classifications is indicated by the entrant on the Entry Form. If an entrant wishes im= ages to be considered for these Cups and Trophies these must be indicated on the Entry Form by the relevant letters NH, R, L or B in the appropriate box. Images not so indicated will not be considered by the selectors for cups and trophies in these classifications.=

By indicating i= mages as NH, R, L, or B and signing the Entry Form the entrant certifies that the images comply with the definitions of ‘Natural History’, ‘Architecture, Record, Scientific and Technical’, ‘Life a= nd Photojournalism’ and ‘Beginners’ respectively as set out = in the Definitions section of these Annual Exhibition Rules.=

18. There will be a separate classification for a 'Set of Three Projected Images'. An entry under this Section will c= ount as one projected image only under Rule 1 and will be selected as a set R= 11; individual images in a set will not be eligible for any individual awards.<= span style=3D'mso-spacerun:yes'> A ‘Set of Three Projected Images’ must consist of either all transparencies or all digital images. A ‘Set of Three Projected Images’ must be entered on the entry form in the appropriate boxes.

I= mages

19. All elements of an image must originate from photographs taken by the entrant. =

· = Negatives and transparencies may be trade processed.

· = ‘Trade processed’ colour prints from a commercial laboratory may be entered providing either they are machine processed or hand crafted to instructions from the entrant.

· = Prints may be digitally printed (eg ink-jet prints or trade printed) but must be t= he sole work of the entrant including any computer work and manipulation.=

Use of ‘c= lip art’ and ‘royalty free’ images are not allowed and use of graphics should be kept to a minimum.

20. Print entries must comply with the definitions of either Monochrome prints or Col= our prints set out in the Definitions section of these Annual Exhibition Rules.=

P= reparation and Presentation of Entries

P= rints

21. Prints must be mounted on a rectangular card of any colour and adequately backe= d to avoid damage. The mount mu= st be 50cm x 40cm. (This is the mount size required for EAF Exhibition competition entries. Also smaller mounts = have the potential to damage other prints during handling as part of the administration and judging process)

One dimension o= f the print must be a minimum of 24cm (9½"). Framed prints will not be accepted= .

Any print that = is liable to cause damage to other prints will be disqualified (e.g. ‘Velcro’ pads, loose mounting tape, etc.). Entrants are asked to note that “drafting” or “masking” tape is low tack and becomes detached on handling and is liable to cause damage to other entrants’ prints. Hence drafting/maskin= g tape must not be used for mounting prints for the Exhibition.<= /p>

22. Prints must be clearly labelled:

· = With the TITLE and ENTRANT'S NAME o= n the back of the print in the TOP LEFT-HAND CORNER.

· = Entries for the ‘Natural History’, ‘Architecture, Record, Scienti= fic and Technical’, ‘Life and Photojournalism’ or ‘Beginners’ cups and trophies must be marked NH, R, L or B respectively on the back of the print in the TOP LEFT HAND CORNER.

T= ransparencies

23. Transparencies must be mounted to the standard size 2" x 2", <= /p>

24. Transparencies must be clearly labelled:

· = With the TITLE and ENTRANT'S NAME o= n the viewing side and be correctly spotted in the bottom left hand corner when viewed correctly.

· = Entries for the ‘Natural History’, ‘Architecture, Record, Scienti= fic and Technical’, ‘Life and Photojournalism’ or ‘Beginners’ cups and trophies must be marked NH, R, L or B respectively, on the viewing face of transparency mounts in the TOP LEFT HA= ND CORNER.

D= igital Images for Projection

25. Digital images may be submitted on DVD, CD or USB memory stick. These must be clearly labelled wit= h the entrant’s name.

26. Digital image files must be saved to the DVD, CD or USB memory stick in a single folder, containing all the entries, with a name which is the entrant’s name eg ‘Joe Bloggs’. The following file naming convention must be followed for digital im= age files:

· = Each digital image must be sized so that the maximum horizontal dimension is 1400 pixels, the maximum vertical dimension is 1050 pixels and be saved at maximum quality as a JPEG (or JPG) format file.

· = Each digital image file must be named as ixx.jpg, where xx =3D the entry number = on the Entry Form e.g. i01.jpg, i02.jpg etc.

· = In the EXIF data for each file enter your name as Author, the image title in t= itle and

· = Entries for the ‘Natural History’, ‘Architecture, Record, Scienti= fic and Technical’, ‘Life and Photojournalism’ or ‘Beginners’ cups and trophies NH, R, L or B respectively must entered in as the Subject (or Description) in the EXIF data for the image (= see definitions below).

· = NB The EXIF data may be entered using MS Explorer or Photoshop or other imaging software. A link with advice = on how to do this can be found on IDPS web site page:- http://www.idps.org.uk/page4.html.

· = Award winners may be asked to provide high resolution digital files of their imag= e(s) for publicity purposes.

D= efinitions

27. Natural History (NH)

Images depicting observations from all branches of natural history, except Anthropology and Archaeology, in such a fashion that a well informed person will be able to identify the subject material and to certify to its honest presentation. The story telling value of the ima= ge must be weighed more than the pictorial quality. Human elements shall not be present unless, on rare occasions where human elements enhance the nature story, th= ey are unobtrusive. Images of artificially produced hybrid plants or animals, mounted specimens, obviously set arrangements, derivations or any form of photographic or digital manipulation that alters the truth of the photographic statement are ineligible, with the exceptions of detailed micro or macro images and scien= tific banding on wild animals. A Na= tural History image, in the context of these rules, is defined as showing one or = more organisms living free in its natural habitat. Accurate descriptive, rather than = cute titles should be used for natural history pictures.

28. Architecture, Record, Scientific and Technical (R)

This classifica= tion excludes natural history. It includes images made primarily to record the inherent scientific, technical= or historic interest of the subject(s). Clarity of detail is essential and no multiple images or manipulation are allowed except for the removal of minor blemishes. Titles must be descriptive of the subject of the picture.

29. Life and Photojournalism (L)

· = Life - “Observation of human nature – spontaneous images of people, doing anything or nothing, bringing out, where possible, character in the people or action (non studio)” or

· = Photojournalism - photographs of events or incidents of journalistic interest including spo= rt which may or may not include people.

No multiple ima= ges or manipulation are allowed except for the removal of minor blemishes.

30. Beginners (B)

A ‘Beginner’ is defined as someone who:

· = Has not been a full or junior member of the Society for more than three years.<= o:p>

· = Has not won an award in the Socie= ty's Exhibitions or in similar exhibitions of ot= her Societies. An award means a c= up or trophy, highly commended or commended certificate but winning a highly commended or commended certificate in a Beginners’ section does not d= ebar a member from re-entry in those sections.

· = Has not been awarded a distinction by the Royal Photographic Society (FRPS, ARP= S, LRPS), the Photographic Alliance of Great Britain (MPAGB, DPAGB, CPAGB) or other comparable photographic distinction.

· = Has not had a print or projected image accepted in a National or International Exhibition.

It is expected = that members entering this class are newcomers to club photography with little o= r no experience. Members who are uncertain of their Beginners status should consult the President or an Exhibition Secretary for advice before submitting their entry.

31. Monochrome prints

Monochrome prin= ts must be black and white or have been modified by the addition of a single t= one to the entire image. A print = which has been partially toned or had any colour added cannot be entered as a mon= ochrome print.

The processing = and finishing of silver based monochrome prints must be the sole work of the entrant.

32. Colour Prints

Colour prints i= nclude images which have been modified by the addition of partial toning or by the addition of any colour to any part of the image.
